SMTP Integration in Helpdesk

SMTP (Simple Mail Transfer Protocol) is a protocol used for sending emails from one server to another. When you send an email, SMTP handles routing it to the correct mail server, which then forwards it to the recipient's email server. BIK integrates multiple servers like Gmail and Zoho using SMTP.

Steps to Integrate Your Email to the BIK Dashboard

1. Connect Your Email:

  • Navigate to the Settings page and select Channel Management.

  • Click on Connect Channel.

  • Choose Other for Gmail and Zoho email types.

  • Enter your email in the provided input field.

2. App Password:

  • BIK uses your email's app password for authentication (both Gmail and Zoho).

  • Ensure that 2FA (Two-Factor Authentication) is enabled on your email account.

  • Go to Settings in your account and search for App Password.

  • Create an app password and make a copy of it as you will not be able to view it again.

  • Paste the app password in the BIK dashboard.

3. SMTP Server Details:

  • For Gmail, use smtp.gmail.com.

  • For Zoho, use smtp.zoho.in.

  • The port number can be left empty.

4. Email Forwarding Setup:

  • After entering the details and clicking Next, you will receive a forwarding email.

  • Copy the forwarding email and click Complete.

  • Go to your Gmail settings and click on More Settings.

  • Navigate to the Forwarding and POP/IMAP tab and add the forwarding address you copied.

  • Confirm the forwarding address on the next page.

5. Forwarding Confirmation:

  • You will receive an email from Gmail in the helpdesk.

  • Copy the link request to accept the forwarding and paste it into a new tab to accept it.

  • Click on Confirm and go back to Gmail settings page.

  • Reload the Gmail settings page.

  • Enable the Forward a copy of incoming mail to option and save your changes.

That's it! Your new emails will now be forwarded to the helpdesk.


Connecting Outlook using OAuth

1. Select Outlook OAuth Method:

  • Choose the Outlook OAuth method to connect your Microsoft email.

2. Redirect to Sign-In Page:

  • Click "Connect," and you will be redirected to the sign-in page.

3. Sign in with Microsoft:

  • Click the "Sign in with Microsoft" button to connect.

4. Enter Server Details:

  • In the server input, enter smtp.office365.com.

  • Leave the port number empty.


Steps to Enable Mail Forwarding in Outlook

  1. Sign in to Outlook on the Web:

    • Go to Outlook.com and sign in with your email address and password.

  2. Open Settings:

    • Click the gear icon in the upper right corner to open the Settings menu.

    • At the bottom of the Settings menu, click "View all Outlook settings."

  3. Navigate to Mail Forwarding:

    • In the Settings pane, click on "Mail."

    • Then, select "Forwarding."

  4. Set Up Forwarding:

    • Check the box for "Enable forwarding."

    • Enter the email address you want your messages to be forwarded to.

    • Optionally, check the box to "Keep a copy of forwarded messages" if you want to keep copies of the forwarded emails in your Outlook inbox.

    • Click "Save."


FAQs

1) Is it safe to share my app password with BIK?

Yes, the app password is specifically generated for this purpose and provides an additional layer of security beyond your regular email password.

Always keep your app password secure and do not share it with unauthorized parties.

2) I can't see app password in my settings

Please make sure 2FA is mandatory to enable app password in settings, without which you won't be able to see it in your settings.

3) How do I enable mail forwarding in Outlook on the web?

Sign in to Outlook on the Web, open Settings by clicking the gear icon, navigate to "Mail" > "Forwarding," check the box for "

4) What should be entered in the server input ?

If you are connecting Gmail enter smtp.gmail.com, for Zoho it is smtp.zoho.in and for outlook it is smtp.office365.com.
