The AI Rephrase feature enables agents to communicate more effectively across WhatsApp and Instagram by enhancing grammar, adjusting tone, and translating messages into the customer’s preferred language—all without third-party plugins like Grammarly. This feature offers four rephrase options, each tailored to meet specific communication needs.

AI Rephrase Options

The AI Rephrase feature provides four main options:

  1. Improve Writing

    • Refines the sentence based on the prompt configured in AI settings.

  2. Change Tone

    • Alters the tone of the message. Available tones include:

      • Simple

      • Professional

      • Friendly

      • Empathetic

    • If no tone is selected, the default tone set in BIK AI settings will be used.

  3. Translate

    • Translates the sentence into a chosen language. Configurable language options are available in the AI Rephrase settings in BIK AI.

  4. Add Instructions

    • Allows custom instructions to be applied to the message, rather than using the common prompt in AI Rephrase settings.

    • You can add up to five custom instructions, which will be pre-populated. If you add a new instruction beyond this limit, the oldest instruction will be removed to accommodate the new one.


Configuring AI Rephrase: Prompt and Languages

To set up prompts and languages for AI Rephrase, follow these steps:

  1. Access Settings:

    • Go to BIK AI in the BIK dashboard.

    • Select Helpdesk and navigate to AI Rephrase.

  2. Setup AI Rephrase:

    • Click on Setup AI Rephrase.

    • Add your preferred prompts and languages, then click Save.

    • You can edit these settings later by repeating the steps above.


Using AI Rephrase

Once your settings are configured, here’s how to use AI Rephrase in customer interactions:

  1. Start a Message:

    • Go to Helpdesk and choose WhatsApp or Instagram.

    • Write a message to the customer.

  2. Apply AI Rephrase:

    • Click on AI Rephrase and select one of the four options to enhance your sentence.

  3. Review and Edit:

    • Accept the rephrased sentence if it meets your needs, or regenerate it for further refinement by clicking Rephrase.

    • Discard the response if you prefer to keep the original message.

  4. Provide Feedback:

    • Use the thumbs up and thumbs down icons to give feedback on the rephrased sentence.

  5. Undo if Necessary:

    • If you want to revert back to the original message after accepting, simply use the Undo icon.

1) What if I want to rephrase a sentence with custom instructions?

Use the Add Instructions option to apply specific instructions instead of the standard prompt, giving you more control over the rephrased output.

2) Can I regenerate a rephrased sentence if I'm not satisfied?

Yes, if the rephrased sentence doesn’t meet your needs, you can click Rephrase to regenerate it. Each rephrase attempt may provide a more refined response.

3) How do I accept or reject a rephrased message?

After AI Rephrase suggests a sentence, you can either accept it, discard it, or regenerate a new response. If you want to keep the original message after accepting, simply click Undo.
